Group inquiries = big energy, big potential, and BIG opportunities to shine. We’ve updated our Group Inquiry Email Templates with a fresh new vibe, and they’re now ready to roll in Dropbox (under “Email Templates” > Group Inquiry).


Here’s everything you need to know to reply like the pro you are (and not sound like a robot while doing it).


💌 What’s New?


We’ve split the templates into two categories — all bundled into one neat file:

  • Leisure Groups: weddings, reunions, retreats, and fun getaways.

  • Corporate Groups: business travel, offsite meetings, and team retreats.

Plus, there’s a follow-up template for use by Erika (or maybe you someday, wink wink 😉).


✅ DO THIS:

✔️ Cut + Paste the Right Template First: Use the correct category (Leisure or Corporate) — they include important links to our Group Booklet, Intake Form, and contact details.

✔️ Personalize the Message: Add their name, reference how the inquiry came in, and reflect their vibe. For example:

“We're so excited to hear you’re planning a lakeside retreat!. " OR "Thanks for reaching out about a wedding weekend — we love those!”

✔️ Acknowledge the "Ask": Even if we don’t offer something they've asked for (like catering or golf), we can still help:

“While we don’t provide catering directly, we’re happy to connect you with some local faves!”

✔️ Keep It On-Brand: The Grove voice = upbeat, welcoming, and warm — never stiff or overly formal. Think: professional with personality.


🚫 DON’T DO THIS:

Send the Template Word-for-Word: Guests deserve more than a canned message. Personal touches make all the difference.

Ignore Important Details: Read the whole inquiry. Mention their date, group type, or location interests to show we’re paying attention.

Sound Like a Robot: This isn’t a call centre. You’re a living, breathing Grove human and that should shine through.
